Job Description:
The candidate will be taking on administrative responsibility, including the activities and going-ons of the division’s management office. The position includes performing additional tasks according to the needs of the division.
Responsibilities:
- Secretarial tasks- answering phone calls and emails, managing a daily planner, etc.
- Overall responsibility for the management of the Office of Resource Development and Partnerships.
- Coordinating meetings for the division manager and the manager of recruitment support resources.
- Responsible for coordinating and updating the divisional calendar: travel, important visits, events, etc.
- Telephone answering and routing of inquiries.
- Administrative handling of the unit’s needs.
- Centralization of the handling of mail and errands for the entire department.
- Physical and digital filing of documentation.
- Scanning materials for their classification; the concentration of work is with the administrative archive to transfer materials.
- Preparation of travel files and compilation of timetables and materials for work trips for the division manager and the manager of recruitment support resources.
- Participating in meetings and writing summaries of departmental meetings (managers’ forums, work meetings, etc.) and distributing them.
- Centralization of divisional task table and monitoring of execution.
- Assisting in the coordination and organization of departmental welfare operations.
- Responding to inquiries.
- Routing and handling of all referrals that reach the Resource Development and Partnerships Division from within and from outside our organization, including from abroad.
- Drafting independent answers and/or on behalf of the director of the division and the manager of the recruitment support resource array, in Hebrew and English.
- Routing and answering inquiries to the wing mailboxes (International Relations and the public inquiries box), which are conducted mainly in English.
- Logistic coordination/operation.
- Partnership in the centralization of treatment in the accommodation system for guests.
- Assistance in logistical and administrative tasks in delegations, events, and ceremonies, according to the needs of the department.
- Purchase orders (ERP) for departments, gifts to donors, and inventory management.
Requirements:
- Must be a high school graduate.
- Bachelor’s degree/professional courses in office management are an advantage.
- Must be fluent in Hebrew and English (writing, reading, and speaking).
- English at a mother tongue level is an advantage.
- Proven work experience in a relevant position is mandatory.
- Proven experience working in a computerized environment (must have full command of the Office and Outlook applications).
- Familiarity with the CRM system is an advantage.
- Experience working in a multi-tasking environment.
- Ability to organize and to be punctual.
- Excellent human relations, and the ability to work in a team.
- Availability to work at unusual hours.
The salary is approximately 7,550 NIS for a full-time position + travel. For those with a bachelor’s degree, there is an additional 250 NIS.
