AIS and Israel

Walworth Barbour American International School (WBAIS) in Israel has two campuses – American International School (AIS) located in Even Yehuda and Jerusalem American International School (JAIS).

Established under the auspices of the American Embassy in 1958, WBAIS is a MSA accredited, fully independent, co-educational day and boarding EY-12 international school, which offers a robust program leading to a US high school diploma.

In 2008, WBAIS moved to its current 19-acre campus in Even Yehuda, a residential community approximately 20 kilometers north of Tel Aviv. The purpose-built campus includes four separate divisions, a performing arts building with a 400-seat auditorium, full gym, cafeteria, library and media center, athletic fields, tennis and basketball courts, and an olympic-sized pool.

In August of 2001, WBAIS opened a second campus, JAIS, to support families working for the US State Department in Jerusalem. JAIS has become home to a current enrollment of 100 students in preschool through grade 9.

JAIS has 30 employees. Most of these employees have been hired locally in Israel. Many are trained in the United States and United Kingdom and tend to be in Israel long-term.

Introduction

The AIS campus has approximately 500 students representing 30+ nationalities, WBAIS Israel is a diverse and vibrant community. Approximately 30% of WBAIS students are American, 40% from countries all over the world, and 30% Israeli.

AIS has approximately 150 local and international employees and includes an active teachers association, with 100 faculty members coming mostly from Israel and the United States. Many of these faculty members have had experience at other international schools around the world. Our employee makeup creates a very unique international culture, while being located in Israel.

Position Objectives

The Executive Assistant to Human Resources works collaboratively with the Deputy Superintendent and the Relocation Coordinator as well as the rest of the Leadership Team to support the foreign-hire and local faculty and staff on both the AIS and JAIS campus. Successful candidates will value customer service, have a background in Human Resources, and display leadership, sound judgment and confidentiality.

The Executive Assistant to Human Resources should be proactive, solution-focused, detail-oriented, adaptable, empathic, and innovative.

Because of the unique nature of WBAIS, we are looking to find a candidate that can create and implement systems and data management while fostering personalized and supportive relationships.

Main Responsibilities

The Executive Assistant to Human Resources will:

Support All Faculty and Staff and

  • Create and maintain systems to support HR and Relocation needs.
  • Use the knowledge of the Teachers’ Agreement and the Employee Handbook, answer teacher and staff questions.
  • Update and maintain personnel files and Bamboo profiles in a timely manner and according to current industry standards, and ensure proper ongoing handling of all materials therein for all aspects of the employee life cycle including annual compliance.
  • Draft employment verifications and other letters required for faculty and staff members.
  • Support faculty and staff with offboarding, including exiting and retiring staff.
  • Ensure compliance with relevant labor laws.
  • Work with the Relocation Coordinator on school events and functions.
  • Liaise with the US Embassy in order to support passport renewal, SOFA visas, cars, and shipping.
  • Collaborate with the Deputy Superintendent when there are employee complaints for the purpose of reaching resolutions that provide a healthy work environment.
  • Support the New Hire Orientation week.


Support Foreign Hire Staff and

  • Support the ongoing work of the Relocation Coordinator in supporting the onboarding, housing and the needs of foreign hires, including organizing bill payment.
  • Update and maintain the New Hire Website and new hire documents.


Support Leadership and

  • Assist with HR related issues.
  • Manage job vacancies on Bamboo HR, internally, and on local and overseas recruiting sites.
  • Manage contract renewal and letters of intent.
  • Organize attendance of administrators at the annual recruiting fairs overseas: registration, flights, and communication.
  • Create all necessary and useful reports on BambooHR.
  • Maintaining database of Stipends as well as in charge of stipend process (create letter, verify signature, forward to payroll for execution, update Bamboo).
  • Maintaining accurate and updated job descriptions.


And any other duties as assigned by the supervisor.

Position Requirements/Key Competencies

To excel in this position, an individual must successfully perform each essential responsibility, in addition to the following:

  • possess excellent skills in collaboration and communication with diverse groups.
  • manage and maintain the integrity of employee data.
  • implement major new projects and lead collaborative change.
  • know local labor laws and have experience with labor/management relations.
  • proactively communicate to integrate all community stakeholders into the learning process.

Qualifications

  • BA in Human Resources or related discipline, MA preferred
  • Fluent command of spoken and written English, Hebrew preferred
  • Minimum five (5) years experience in Human Resources Management
  • International experience is strongly preferred
  • Prior experience in educational and/or non-profit environment, preferred
  • Friendly and service-oriented disposition
