Job description: We are currently seeking an experienced Executive Assistant & Office Manager to report to and work closely with Pomegranate’s CEO. The position will encompass a wide range of responsibilities that will reduce the administrative load on the CEO, and streamline office administration, and will include project managing of software onboarding.
The position is based in our Ramat Gan office.

Requirements:

  • Experience as a personal assistant or executive assistant
  • Experience as an office manager
  • The ability to manage multiple projects across a wide range of disciplines and to oversee initiatives from idea to implementation
  • Extremely strong organizational and time management skills
  • A high level of attention to detail
  • Strong interpersonal and communication skills, and the ability to actively listen
  • Pro-active problem-solving with the ability to seek and find new solutions to problems and to learn in a fast-paced environment
  • Strong understanding of technology and an ability to manage software project implementation (technically savvy)
  • Fluent English speaker with strong written and verbal skills in English, and conversational Hebrew

Responsibilities:

  • All Office administration - Removing all possible administrative burdens from the CEO and other team members
  • Managing the CEO’s inbox and correspondence as required
  • Actively managing the annual calendar for the CEO and office: holidays, birthdays, vacation leave and taking all necessary associated actions e.g. purchasing gifts, arranging office events (within budget), sending newsletters to advise of holiday closing times
  • Managing the meeting schedule for the CEO and wider office including all site inspections, supplier and partner meetings internal and external, domestic and international
  • Making wider trip / meeting scheduling and all travel arrangements when the CEO, or other team members, travel for business
  • Booking appointments/ restaurants for the CEO and other senior members of the management team upon request
  • Being the main point of contact for all office issues and questions as they relate to IT/ the point person with our external IT providers and support service
  • Responsible for all office logistics including being the point person with our leaseholder, obtaining or fixing anything ‘physical’ which the office requires or has, assisting with printing etc
  • HR: Facilitate proper onboarding and administration of employees including administration and logistics
  • Filing documents and maintain office materials and records in good order (electronic)
  • Coordinating the upkeep and edits of company website and supplier databases and software
  • Planning, coordinating and leading meetings and training sessions, as required
  • Creating, formatting, reviewing and proof reading written corporate material and other documentation
  • Identifying and providing recommendations on improvements across the organization
  • Project managing software upgrade and becoming software champion and trainer
