AIS and Israel
Established under the auspices of the American Embassy in 1958, The Walworth Barbour American International School in Israel (WBAIS) is a MSA accredited, fully independent, co-educational day and boarding EY-12 international school, which offers a robust program leading to a US high school diploma. WBAIS encompasses two campuses, AIS in Even Yehuda and JAIS in Jerusalem.
WBAIS is located on a 19-acre campus in Even Yehuda, a residential community approximately 20 kilometers north of Tel Aviv. The campus includes four separate divisions, a performing arts building with a 400-seat auditorium, full gym, cafeteria, library and media center, athletic fields, tennis and basketball courts, and an olympic-sized pool.
With a present enrollment of 500 students representing over 30+ nationalities, AIS Israel is a diverse and vibrant community. Approximately 30% of AIS students are American, 40% from countries all over the world, and 30% Israeli.
Introduction
Seeking a substitute/part time after school activities manager to step in for the Extended Programs Director when he is not available. The role also includes providing administrative support during August, September and January.
Main Responsibilities
In the morning before the ASAs begin:
- Be responsible for responding to incoming parent emails about their children’s participation in ASAs that are relevant to the day of substitution.
- Compile the daily ASA 16:45 Tel Aviv, Netanya and Herzliya late bus lists.
- Check the Daily Bulletin and remove from both the daily bus list and the daily ASA list, students that according to the Daily Bulletin are not at school.
- Send each instructor via whatsapp his/her specific daily attendance list.
- If necessary find a replacement instructor for any instructors who inform that they cannot instruct as scheduled.
- Check emails throughout the day to ensure there are no more parent or teacher updates re-student participation in ASAs.
- Check the weather report and arrange for alternative locations if rain or high winds are expected.
Immediately prior to start of the ASAs:
- From 14:45 be prepared to receive instructors and answer any last minute instructor questions.
- At 14:50 be down at the Elementary School flagpole grass area with instructors to ensure instructors are present and receiving students.
- Assist instructors with taking attendance and responding to instructors regarding students who are unexpectedly absent.
- Be in immediate contact with the Elementary School principal to prevent a missing ASA participant from mistakenly going home on the 15:00 pm bus.
- Be in immediate contact with the Elementary School principal regarding any ASA participant that is not accounted for.
During the ASAs:
- Check in physically on each ASA to see if instructors need anything and if the ASA is being run safely, smoothly and as required.
- Be available to take students to the nurse.
- Be available to respond to any instructor request for assistance.
After the ASAs:
- Be responsible for supervising all ASA participants as they gather at the main grass area prior to boarding the buses (with the assistance of another instructor).
- Ensure that all the students on the bus lists are present and that no students are unaccounted for.
- Walk “pick up” students out to their parents and maintain eye contact with students until it is clear that their parents have taken responsibility for them.
- Walk children out to the buses (Herzliya, Netanya and Tel Aviv) and prior to students boarding, calling out each student’s name and visually ensuring that each student has boarded the bus.
- Coordinate any last minute bus rider changes with the bus monitor.
- Be on campus till 2nd session ASAs end at 17:20 and walk ASA participants out to the 17:30 buses or to pick up.
- Remain available by telephone for 60 minutes after the buses leave to answer bus monitor and parent phone calls should there be any problems with students being met at their designated bus stop.
Position Requirements
Skills:
- Excellent communications skills: to coordinate with all stakeholders, including students/parents/coaches/teachers/transportation coordinator/principal all as required.
- Ability to multi-task and manage multiple priorities simultaneously.
Judgment:
- Excellent problem solving skills.
- Outstanding conflict resolution skills.
Accountability:
- Must ensure the safety of all students participating in after school activities.
- Track and accurately maintain attendance records.
- Ensure resources are readily available for all activities through coordinating with various leads/coaches.
Qualifications
- Experience working with elementary school children - advantage
- Computer skills/working with spreadsheets
- Knowledge of all WBAIS safety protocols
- Knowledge of all ASA being offered, including ensuring a database of contacts/subs for leads/coaches - advantage
