The Coordinator of Privately Sourced Documentation Collection is responsible for managing the collection processes with the collection donors, controlling the completeness of the delivered collections, transferring the collections to continue the absorption process, and managing the continuation of the relationship with the owners of the collections. The position includes performing additional tasks according to the needs of the unit.
Areas of Responsibility:
The Collection Process;
- Coordinate all aspects required for holding documentation meetings and gathering from private sources.
- Hold collection and documentation meetings internally and externally while controlling and completing the information in an online documentation and collection form.
- Receive all the required information in relation to the pledge collection to the depositor of the collection.
- Manage the work interfaces and the relationship with the departments where the collections are absorbed.
- Document the process of collecting the materials received as part of projects in the computerized system (CRM).
- Complete an online collection form and the accuracy of the content information related to the collection is documented when receiving it for duty.
- Responsibility for receiving and initial registration of digital collections received from private sources.
Public Relations; Debriefing; Marketing;
- Establish contact with collection owners for the purpose of opening requests for the delivery of documentation to vigil.
- Preliminary preparation and investigation for collection meetings.
- Basic research.
- Train, market, and explain the work of the department to both the public and internally.
Requirements:
- Bachelor’s degree or towards the end of completing a bachelor’s degree.
- Hebrew and English at a high level.
- Mastery of additional European languages is a significant advantage.
- Digital-orientated.
- Valid driver’s license and willingness to drive as part of the position.
- Ability to go down to details.
- Order, organize, and manage tasks independently.
- Experience working in a multi-tasking environment.
- Ability to deal with stressful situations.
- Familiarity and experience with the CRM system is an advantage.
- Familiarity with document cataloging systems is an advantage.
- Familiarity with office applications is an advantage.
- High sense of service, excellent human relations.
- Ability to work as part of a team.
