Legal Operations Associate

A boutique immigration law firm specializing in U.S. and Israeli business and family immigration law.

We are looking for a vibrant, highly organized, and detail-oriented person to fill the full-time position of Legal Operations Associate. The associate will play a unique role assisting the legal team in the administration of client projects and lead our consular processing department, under the auspices of the lead attorney and paralegal team.

For this role, the ideal candidate will come from a strong operations, legal, and/or service-oriented background, accustomed to navigating strict deadlines within a fast-paced, high-tech setting.

Responsibilities:

  • Launch and oversee immigration projects for corporate and private clients.
  • Set up and invite teams to collaborate through dedicated software systems.
  • Update and track data flows in our customized application suite.
  • Support attorneys with document management.
  • Ensure translation requests for documents are handled properly.
  • Ensure checks for various filing fees are organized and delivered to our offices on time.
  • Manage and update profiles in our immigration case management system.
  • Update statuses on internal boards for various filings either in progress or closed.
  • Review submissions checklists and coordinate with our vendors.
  • Lead consular processing including opening of US Embassy accounts on behalf of clients.
  • Review of DS-160s (online non-immigrant visa applications) and consular processing packs ahead of Embassy interviews.
  • Schedule US Embassy interviews and a prep call with our team in advance.
  • Review passport status updates via the Department of State website.
  • Communicate with clients on visa processing and passport status updates.
  • Update our immigration software for future expiration dates on issued visas.
  • Occasional “light” translations (Hebrew to English) and ad hoc tasks.

Requirements:

  • Bachelor’s degree in law.
  • Highly detail-oriented.
  • Ability to work independently.
  • Excellent verbal and written communication skills.
  • The ability to relate and communicate with clients and people at all levels.
  • Native-level English is a must; advanced-level Hebrew is preferred.
  • Faultless spelling and grammar.
  • The ability to effectively prioritize and administer tasks as well as the flexibility to do occasional work outside of office hours.

Preferred Skills:

  • Minimum of two to three years of experience in an operations or legal setting.
  • Prior experience in immigration law is an advantage but not a must.
