We are a Bet Shemesh based financial firm looking for an experienced Executive Assistant who will provide comprehensive administrative support to senior executives, ensuring efficient operation and effective communication within the organization. This role requires exceptional organizational skills, highly motivated energy, attention to detail, and the ability to handle sensitive information with discretion.

Key Responsibilities:

  • Task Management: Assist the executives in organizing, prioritizing, and

managing tasks, including identifying tasks that can be delegated. Act as the “list

Keeper” ensuring important and urgent items are completed.


  • Communication: Serve as the primary point of contact between the executives

and internal/external stakeholders. Handle correspondence, emails, and phone

calls professionally and promptly.

  • Meeting Coordination: Schedule and organize one-on-one meetings, executive

team meetings, client meetings, and meetings with managers and advisors.

Prepare agendas and potentially take minutes.

  • Event Planning: Plan and coordinate events such as parlor meetings, informal

meet-and-greets, networking events, and educational events for employees and

prospective customers. Oversee one major event quarterly and one minor event

monthly, sometimes during evening hours.

  • Travel Arrangements: Manage travel logistics for the executives, including

booking flights, accommodations, cars, and arranging for kosher food options and

local community connections.

  • Document Management: Maintain and organize documents, including updating

data on web applications or websites, editing and filing documents, and creating

Presentations.

  • Vendor Management: Liaise with vendors to order supplies, negotiate better

pricing, and ensure services are delivered effectively.

  • Financial Tasks: Handle minimal financial tasks such as paying credit cards,

checking bank accounts, processing credit cards and creating and sending

Invoices.

  • Personal Assistance: Occasionally make personal appointments and assist with

other ad-hoc tasks as needed.

Qualifications:


  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Exceptional organizational and time-management skills.
  • Highly motivated – pro-active and able to carry responsibility.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and

other relevant software such as Gmail, Canva, Adobe Acrobat, Asana, and

ChatGPT.

  • Ability to handle confidential information with integrity and discretion.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Bachelor’s degree or equivalent experience preferred.
  • Fluent English and Hebrew – verbal and written




Required hours:

6 hours/day – 4 of which must be between 10am - 6pm

Occasional evening responsibilities. Flexible WFH
