We are a dynamic and rapidly-growing fin-tech company looking for an Executive Assistant.
The ideal Executive Assistant for our GM /Executive Team is a proactive and detail-oriented professional who can anticipate the needs and provide seamless support. They should have exceptional communication skills, discretion, and the ability to handle confidential information with utmost professionalism. The Executive Assistant should be adaptable, well organized, detail oriented, capable of managing multiple tasks simultaneously without dropping the ball, tech savvy and being always one step ahead of what is needed.
Responsibilities:
As the Executive Assistant, you will play a pivotal role in ensuring the GM's/Executive Team's efficiency and effectiveness in managing the company. Your responsibilities will include:
- Calendar Management: Manage the GM' and Executive Team's calendar, schedule appointments, and coordinate meetings, both internal and external, to optimize their time and prioritize commitments.
- Travel Arrangements: Arrange and coordinate domestic and international travel, including flights, accommodations, and itineraries, ensuring smooth logistics.
- Communication: Act as a liaison between the GM/Executive Team and internal and external stakeholders, including board members, clients, and partners, through clear and professional communication.
- Documentation and Reporting: Prepare and edit reports, presentations, and documents for the GM/Executive Team, ensuring accuracy and consistency in content.
- Meeting Support: Attend executive meetings, take minutes, and follow up on action items to ensure efficient execution of decisions and initiatives.
- Confidentiality: Handle sensitive and confidential information with discretion and maintain a high level of confidentiality at all times.
- Project Coordination: Assist in special projects and initiatives as assigned by the GM/Executive Team, which may involve operation, logistics, research, data analysis, project management and any other task which might be required.
- Office Management and HR support: Collaborate with the Operations and HR teams to support the office with ongoing tasks and requests.
- Performing other related tasks as required by the GM and Executive Team.
Requirements:
- Excellent written and verbal communication skills in Hebrew and English (native) - must
- 4+ years of professional experience in a people-facing role, preferably in a tech or fast-paced environment - must
- 2+ years of experience supporting top-level executives - must
- 2+ years of proven experience and interest in general office management - must
- Tech savvy with proficiency in Microsoft Office Suite - must
- Discretion and ability to handle confidential information
- Flexibility and adaptability in a rapidly changing work environment
- Ability to see navigating challenges and obstacles as learning opportunities
- Strong attention to detail and problem-solving skills
- Resourcefulness, proactive, and with a can-do attitude
- Team player with very high motivation, commitment, and attention to detail

This position requires 3+ times/week working from our Jerusalem office.
