Job Description:
As a dedicated Personal Assistant to the owner of multiple global companies, you will play a critical role in ensuring seamless coordination and organization across various aspects of their professional and personal life. Your primary responsibility will be to provide unparalleled support, enhance productivity, and facilitate the owner’s ability to focus on strategic priorities. This position involves extensive travel, accompanying the owner on international trips.
Key Responsibilities:
- Calendar & Time Management: Efficiently manage the owner’s schedule, including meetings, appointments, and travel arrangements, while considering time zones and international commitments.
- Travel Coordination: Plan and organize complex international travel itineraries, ensuring all logistics are well-coordinated, including flights, accommodations, visas, and ground transportation.
- Communication: Act as the primary point of contact for the owner, managing email correspondence, phone calls, and other communications with discretion and professionalism.
- Documentation: Prepare, review, and organize documents, presentations, and reports, ensuring accuracy and confidentiality.
- Meeting Support: Assist in preparing agendas, taking meeting minutes, presentation preparation, and following up on action items to ensure all tasks are completed on time.
- Expense Management: Handle expense reports, receipts, and financial documentation, ensuring adherence to budgetary guidelines.
- Project Support: Assist in various projects, including research, data analysis, and coordination with internal and external stakeholders.
- VIP Services: Arrange personal services for the owner, such as personal shopping, reservations, and other personal tasks as needed.
- Travel Support: Accompany the owner on international trips, providing on-the-ground support and ensuring a smooth travel experience, ensuring preparedness for each meeting as well as strict adherence to schedules.
- Confidentiality: Maintain the highest level of discretion and confidentiality in handling sensitive information and matters.
Qualifications and Requirements:
- Willingness and flexibility to travel frequently, sometimes on short notice.
- Discretion, loyalty, and the ability to handle confidential information with the utmost integrity.
- Excellent organizational and multitasking skills, with a keen eye for detail.
- Must have strong communication skills, both written and verbal, in Hebrew and English.
- Exceptional problem-solving skills and the ability to handle high-pressure situations with grace.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to adapt to changing priorities and work effectively in a fast-paced, dynamic environment.
